Terms & Conditions

Our Terms of Service outline the rules and conditions that apply when attending Art Waves classes. When booking a class, you will be asked to confirm that you have read and agreed to these terms and conditions. We may update these terms and conditions from time to time without prior notice; you are advised to review them periodically and whenever making a new booking. We reserve the right to refuse service or cancel a booking in reasonable circumstances such as breach of these terms or disruptive behaviour.

Cancellations & Sickness

Cancellations more than 10 days before: If you need to cancel your booking, you may do so up to 10 days prior to the start of the workshop. You will receive a refund minus the ticket service fee (this is non-refundable processing fee charged by Wix). Please email your request at hello@art-waves.co.uk

Cancellations less than 10 days before: We are unable to offer refunds or transfers for customer cancellations made less than 10 days prior to the workshop. The only exception is if we have a waitlist and can successfully fill your space. If you cannot attend, please contact us as soon as possible at hello@art-waves.co.uk

Payment: All workshops booked must be paid upfront via the website.

If we must cancel a workshop due to low enrolment, instructor illness, or unforeseen circumstances, we will notify you via email or phone at least 48 hours before the event. In this scenario, you can choose one of the following options:

Transfer: Move your booking to a new workshop of your choice. If the new workshop costs more, you will pay the difference. If it costs less, we will refund you the difference.
Credit: Receive a full credit voucher to use toward any future Art Waves event.
Full Refund: Receive a 100% refund of the total amount paid.

Gift Vouchers

Purchase & Validity: We offer Gift Vouchers in denominations of £10, £20 and £25, which can be purchased via our website. Vouchers are valid for exactly 1 year (12 months) from the date of purchase. Expired vouchers cannot be extended or refunded.

Redemption: To redeem a voucher, please email us at hello@art-waves.co.uk to check workshop availability and secure your space.

Balances: Gift vouchers cannot be exchanged for cash. If your workshop costs less than the voucher value, the remaining balance will be saved as a credit for a future workshop (within the original expiry date). If the workshop costs more than the voucher value, you must pay the remaining balance prior to the workshop via a secure Wix email invoice or bank transfer.

DBS, First Aid & Insurance

Credentials: Our instructors, Gemma & Jade, hold valid Enhanced DBS checks and are available to view upon request alongside photo ID. Jade holds certified Paediatric First Aid and Advanced First Aid Training. Art Waves holds full Public Liability Insurance with Hencila Canworth (Part of Howden Insurance Brokers Limited).

Supervision & Safeguarding: Children will always be fully supervised by DBS-checked staff during Art Waves workshops.

Ages 3-5 Classes: A parent or guardian must remain present and supervise their chid for the entire duration of the workshop
Older Children classes: Parents/guardians may drop their children.

Drop-off & Collection (Older Classes): For drop-off workshops, parents/guardians must arrive promptly for registration and collection. Children will only be released to the parent/guardian who booked the session, unless we are notified at drop-off that someone else will be collecting the child.

Medical Emergencies: In the unlikely event of an accident or illness, you authorise Art Waves staff to administer essential first aid. If emergency medical treatment is required, we will contact emergency services immediately and notify you using the contact details you provided at checkout.

Health and Safety

Art Waves is an inclusive space, and we want to support all our creatives. Everyone is welcome. To help us provide the best and safest possible experience for all, please review our health guidelines below:

Allergies & Materials: Any allergies must be communicated at time of booking via our online form or emailed to hello@art-waves.co.uk. As part of our Terms and Conditions you are required to confirm that you have reviewed the materials that will be used in your Art Waves class. If you have questions regarding specific art materials or ingredients used, please contact us prior to booking.

Anaphylaxis & Severe Medical Conditions: Attendees with severe allergies or anaphylaxis must bring their required, in-date emergency medication to every session. For drop-off classes, if an attendee arrives without their required emergency medication, they will not be permitted to stay. In an emergency, our first aid trained staff will administer life-saving medication if authorised by the parent/guardian.

EHCP and HCP & Additional Needs: If you or your child has an Education Health and Care Plan (EHCP), Health Care Plan (HCP), or any specific medical or behavioural needs, you must inform us at the time of booking so we can reasonably adapt our environment to support you or your child.

Disability: We strive to select venues that support accessibility for all creatives. If you or your child uses a wheelchair or require specific access support, please email us before booking so we can confirm the venue’s facilities and ensure a comfortable experience.

Illness & Contagious Diseases: To ensure the health and safety of all participants and staff, attendees must not attend an Art Waves workshop if they are unwell or suffering from a contagious condition.

Sickness & Diarrhoea: In line with NHS Guidelines, any attendee who has suffered from vomiting or diarrhoea must be completely symptom-free for at least 48 hours before attending a class.
High Temperatures: Children presenting with a high temperature or fever must not be brought to the workshop until their temperature has returned to normal without the use of medication.
Other Contagious Conditions: Attendees suffering from other highly contagious conditions (such as chickenpox, measles, or scarlet fever) must adhere to standard UKHSA public health exclusion periods before returning.
Right to Refuse Entry: Art Waves reserves the right to refuse entry or ask a parent/guardian to collect an attendee if they are visibly unwell or exhibiting symptoms that put others at risk. Please note that our standard 10-day cancellation policy applies to short-notice absences due to personal illness.

Clothing & Personal Property

Dress Appropriately: While we provide Art Waves aprons, we advise that you do not wear expensive/new/best clothes/footwear to classes – some of the materials we use might stain clothing.

Liability for Damage: Some of the artistic mediums and materials used during classes may permanently stain. Art Waves accepts no responsibility or liability for any stains, damage, or wear to participants’ clothing, footwear, accessories or personal belongings.

Photography, Video & Social Media

Purpose of Media: Art Waves may occasionally take photographs or video recordings during workshops. These images are used solely for marketing, promotional purposes on our official social media channels, and updating our website.

Optional Consent: Your child's privacy is highly important to us. Photography consent is entirely optional and is collected via a separate opt-in form at the time of booking. Refusing consent will never impact your child’s ability to participate in our classes.

Right to Withdraw: You have the right to change your mind and withdraw your photography consent at any time. If you wish to withdraw consent or request the removal of an existing image, please email us at hello@art-waves.co.uk and we will remove the media promptly.

Code of Conduct & Behaviour

Our Standards: Art Waves is a safe, encouraging, and respectful environment for all creatives. We expect all attendees to follow instructions, use materials safely, and treat our staff and other participants with kindness and respect.

Addressing Concerns: If an attendee’s behaviour or language becomes unsafe, highly disruptive, or disrespectful to others, our staff will step in to address it. We will speak directly with the parent or guardian to find a supportive solution.

Dismissal Policy: If the behaviour continues or poses a direct safety risk to the class, Art Waves reserves the right to ask the parent/guardian to collect their child immediately. In serious or repeated cases, we reserve the right to cancel the remaining booking without notice.

Refunds for Dismissal: No refunds or credits will be issued if a participant is asked to leave a workshop or course due to behavioural violations.

Parties/Private Events

Booking & Deposits: To secure a private party date, a non-refundable deposit of £50 is required. Dates cannot be held or provisionally booked without a deposit.

Final Balance & Confirmations: The remaining balance must be paid in full at least 2 weeks (14 days) prior to the party date. This is also the final deadline to confirm the total number of attendees and your chosen art/craft themes so we can purchase specialized materials.

Cancellations & Transfers:

Cancellations more than 14 days before: If you cancel before the final payment deadline, your £50 deposit remains non-refundable, but you will not owe the remaining balance.
Cancellations less than 14 days before: Cancellations made within 2 weeks of the event are non-refundable, as supplies will have already been purchased and staff scheduled.
Emergencies: In exceptional circumstances or unforeseen emergencies, Art Waves may, at our sole discretion, allow you to transfer your deposit to an alternative available date.

Children’s Parties & Age Limits: Our private parties are strictly for children aged 3 and over. We can accommodate a maximum of 12 children per party.

Parental Supervision (Little Splashers): For Little Splashers parties, parents and guardians are required to actively stay, engage with the activities, and supervise their children. This ensures a safe environment and allows Art Waves staff to focus fully on delivering the art activities.

Adult Sip & Paint Nights

Age Restriction: Our Sip & Paint events are strictly for adults aged 18 and over. No children or infants are permitted to attend. We operate a strict Challenge 25 policy; please ensure you bring valid photo ID (such as a driving licence or passport), as our staff reserve the right to refuse entry without a refund if age cannot be verified.

Alcohol Policy (BYOB): Some of our Sip & Paint nights may operate on a Bring Your Own Bottle (BYOB) basis. Art Waves will provide glassware and bottle openers, but we do not sell or provide alcohol on the premises. Some venues will have alcohol to purchase or will be included in the ticket price.

Responsible Drinking & Liability: Attendees choose to consume alcohol at their own risk. Art Waves accepts no responsibility or liability for any personal injury, loss, or damage to personal property resulting from the consumption of alcohol. We expect all guests to drink responsibly.
Behaviour & Safety: We reserve the right to ask any participant to leave the venue immediately, without a refund or credit, if their behaviour becomes overly intoxicated, disruptive, unsafe, or disrespectful to our staff or other guests.
Cancellations: Our standard 10-day cancellation and refund policy applies to all Adult Sip & Paint ticket bookings.

Food and Drink

Permitted Refreshments: Attendees are welcome to bring a sealable water bottle to classes. To protect our art supplies, equipment, and studio surfaces from sticky residue and spills, fizzy drinks, cordials, and juices are strictly prohibited.

Outside Food Policy: Except where explicitly stated in the class description, outside snacks and food items are not permitted in the studio. This policy minimizes distractions, protects equipment, and ensures the safety of participants with severe dietary requirements.

Allergy Safeguards (Nut-Free Zone): Because we host children with life-threatening allergies, all Art Waves workshops are strictly nut-free zones. No foods containing nuts or sesame may be brought into the venue under any circumstances.

Provided Refreshments: For specific workshops where snacks and refreshments are included, a full list of ingredients can be provided upon request. Any dietary requirements or severe allergies must be explicitly declared via our online form at the time of booking.

Personal information provided by participants, including names and dietary requirements, will be used solely for the purpose of organising the workshop.

Art Waves will not share participants’ personal information with third parties without consent, except as required by law. See our privacy policy for details
